Make every booked call land in your CRM, then follow up from your call notes

Reported: an audit on Aug 4 found 25 of 43 qualified leads who booked a call had never reached his CRM, and 4 of those 25 paid him anyway. With Claude writing pre-call briefs, prep went from 45 minutes to 4.
An audit showed Neeraj Shah that most qualified leads who booked a call never reached his CRM. Now every booking becomes a CRM row with the intake answers, a stage moves only when the email is in his Sent folder, Claude drafts a four-step follow-up from his call notes, he sends each one himself, and a reply switches the templates off.

If you sell: compare your calendar and CRM this Friday
- Audit last month: list every qualified lead who booked a call and check whether they are in your CRM.
- Make every booking create a CRM row with the intake answers (he uses a Calendly intake form, Notion as the CRM, and Claude to move the data).
- Only move a stage when the email shows in your Sent folder. A draft is not a send.
- From your call notes, have Claude draft four follow-ups: Day 1 value anchor, Day 3 social proof, Day 7 obstacle remover, Day 14 gentle close. Send each one yourself; a reply switches them off.
- Give Claude his four rules: never send for me, never invent a number, never delete a row, verify before advancing.
Here are my booked calls from [dates]: [paste]. Here is my CRM export: [paste]. 1) List every booked lead with no CRM record. 2) For each one, using my call notes [paste], draft four follow-ups: Day 1 value anchor, Day 3 social proof, Day 7 obstacle remover, Day 14 gentle close. Each under 100 words. Rules: never send anything for me, never invent a number, never delete a row, verify before advancing. Only call a stage done if I show you the sent email.
If you lead a team: roll it out
- Ask each rep to run the calendar vs CRM check for last quarter.
- Count the qualified leads that were never logged before you buy more leads.
Watch out for
- This is a solo seller's own pipeline; the 25 of 43 is what his audit found, not a result of the fix, and he does not say how many of the 25 came back.
- Overlaps a little with our Neeraj Shah lead scoring play, but this one is about leads lost between the calendar and the CRM.
